Industry compliance among top visitor management system benefits for Denver-based Cultivated Synergy

With several states in recent years passing laws decriminalizing or legalizing cannabis, businesses of all sorts have taken root to serve the needs of this fast-growing niche.

Yet despite the rapid growth of the cannabis industry, many businesses in the space are finding that complying with the legal requirements can be a daunting task.

Such was the case for Cultivated Synergy, a Denver, Colo.-based coworking facility focused on serving cannabis-related businesses, when it came to keeping track of visitors and the legal documentation they were required to sign.

“We were using hundreds of pages of paper to keep all the information we needed to collect from people visiting our space — waivers and legal documents,” said Ryan Tatum, CEO of Cultivated Synergy.

Once the number of daily visitors and guests arriving for special events got to an unmanageable place, Tatum started looking for a way to reduce the building frustration of Cultivated Synergy’s paper-based, manual check-in process.

He turned to The Receptionist for iPad, which he had heard about when Cultivated Synergy first opened its doors.

“I was aware of The Receptionist and had thought about the idea when we first opened, but I didn’t jump on board,” Tatum said. “I didn’t think we’d have enough guests to need a system like that, but as we grew, I really started to see the value and how it could be used to help.”

The biggest effect the implementation of The Receptionist for iPad has had for Tatum and the Cultivated Synergy team has come in the form of cutting out the need to store paper copies of check-in records and the legal waivers visitors have to sign.

Instead, guests sign off on forms digitally as part of the check-in process, and those records are stored for as long as Tatum needs them in The Receptionist’s cloud-based Visitor Log, ready at a moment’s notice should Tatum need to provide documentation for compliance reasons.

“I love that it takes all that digital,” Tatum said. “It cuts down on all of that paper and printing and trash. It’s nice to have it all in one place and have easy access to all the data we need for as long as we need it.”
