The Receptionist for iPad gives compliance peace of mind at Phoenix Innovate

Michael Spalding is no stranger to visitor management systems.

In a previous role at a managed service provider, Spalding — now the Chief Technology and Compliance Officer at Phoenix Innovate in Troy, Mich. — interacted with different digital check-in systems often as he traveled to customer offices or facilities.

He found that not all visitor management systems are created equal.

“I’ve come across many visitor management systems,” Spalding said, “and many of them are intimidating and hard to use, even for me, an IT guy.”

As chance would have it, Spalding worked with Phoenix Innovate — a marketing strategy and collateral print production agency — to implement a visitor management system (VMS).

In his search, Spalding’s list of needs for a visitor management system included: 

  • logging a visitor’s arrival
  • notifying the appropriate employee that a visitor had checked in
  • presenting documents to each visitor to review and sign
  • taking a picture of each guest and printing badges

The new system had to have all of those features packaged into an intuitive interface, and Spalding found that solution in The Receptionist for iPad.

“It was the ease of use, and it checked every box of what we needed it to do,” Spalding said of the decision to install The Receptionist for iPad at Phoenix Innovate. “It was a no brainer when I presented it. There wasn’t even a question.”

Now that Spalding is in charge of Technology and Compliance at Phoenix Innovate, working to make the company Health Information Trust Alliance (HITRUST) certified is among his chief duties. According to Datica.com, HITRUST certification is intended “to help vendors better prove their security and to help covered entities streamline security and compliance reviews of vendors.”

Spalding reports that The Receptionist for iPad plays a crucial role in ensuring he has the information he needs to comply with certification standards and audits. 

It gives me a level of comfort knowing that I have the evidence and the data I need to present to my auditors for our different certifications,” Spalding said. “The fact that I can immediately go to [The Receptionist] and grab a report of everybody that’s been in my building and show a signature on the documents that are required during audits is so valuable.”
